Improved onboarding statuses (Beta release)

When applications are sent back to vendors for corrections, the only available options have been to either unlock the application or decline the vendor. This made it challenging to distinguish which vendors were still working on updates and which were struggling to complete their corrections. 

We’ve introduced a new workflow for returning applications to vendors, along with enhancements to the approval and decline processes. 

What’s new: 

• A new workflow for returning applications to vendors: 
• Add instructions and sign-off comments for the vendor (similar to the current unlock process) 
• A new Pending Resubmission status to clearly indicate when an application is with the vendor 
• Automated reminders prompting vendors to resubmit 
• Highlighting updated questions in the vendor’s profile upon resubmission 

A clearer workflow for declining applications: 

• Leave a message for the vendor along with an internal note 
• A new Not Proceeding status for cases where no resubmission is expected 

An improved workflow for approving vendors: 

• Optionally include a message to the vendor upon approval 
• Confirm the vendor is assigned to the correct panels 
• Ensure questionnaire sign-off is complete 

Additional enhancements: 

• A more intuitive experience for vendors 
• More detailed records in the vendor’s interaction log

Synchronise budget and scheduling data from external tools directly into Felix Procurement Schedules

Available for: Procurement Schedule and API customers

Procurement schedule activities typically form part of a wider project, where key dates are stored in one external system (e.g. Primavera) and budget allocations for each package are maintained in another. To accommodate this, Felix now allows you to update budget and deliverable date information from other third-party tools directly into a package  within a Procurement Schedule.

A new Procurement Schedule API endpoint enables you to push budget, target and forecast costing values as well as planned “deliverable” dates (e.g. Required on Site date) into schedule packages from your ERP, planning & scheduling, or cost management tools. 

The outcome is less manual effort, and less risk of errors, to keep Felix procurement schedules always aligned with the master project schedule.

Additionally, to strengthen the exchange of cost data, we have added a currency response field to the existing Projects API endpoint so you can identify the project’s base currency within Felix and consider this when making updates from other tools.

Finally, with the addition of this endpoint, we also have introduced the ability to programmatically update package titles and descriptions via the API. We welcome feedback on additional update functionality API users would like to see.

Add links for connected systems to vendor tags 

Available for: Vendor Management 

Vendor tags can be used to share critical information about a vendor that resides in another system.  

To make navigation easier, you can now hyperlink a vendor tag to its corresponding external system. 

What to know: 

• Links must start with https:// or http:// to be detected and styled as hyperlinks. 
• Hyperlinks are currently only supported in the View state of vendor tags on vendor profile. This is a state visible to users without permission to Assign and Remove tags. 

Hyperlink vendor tags to provide quick access to information stored in connected systems.

Add new columns to your Vendor List 

Available for: Vendor Management 

We’ve expanded the available columns in the Vendor List so that it’s more informative, now including: 

• Approved On Date: Supports more accurate and timely vendor reporting. 
• Key Contact Phone Number: Enables business and JV users to quickly access vendor contact details, especially when the Vendor List is their primary source of information.

SMS-enabled MFA for New Zealand phone numbers  

Available for: New Zealand users

SMS-based Multi-Factor Authentication (MFA) is now available for New Zealand mobile numbers – a highly requested feature from our New Zealand customers. 

Previously, New Zealand users could only use an authenticator app as a form of MFA for added security. With this update, users receive verification codes via text message on your NZ mobile, making it more convenient and easier to protect their Felix accounts.
